What the Greene County Circuit Clerk Does

The Circuit Clerk's duties are wide. The office is the front door for filings, the back office for case files, and the cashier for fees, fines, and bonds tied to the 31st Circuit. Court reporters and division clerks work with the Circuit Clerk to keep the docket and the official record.

  • Accept and file petitions, motions, charging documents, judgments, and appeals.
  • Issue process such as summons, subpoenas, and writs.
  • Maintain the master case file and docket entries for each division.
  • Collect filing fees, court costs, fines, bonds, and restitution.
  • Produce certified, non-certified, and authenticated copies on request.
  • Coordinate with the Court Reporter and court coordinators on transcripts and CD audio.
  • Manage e-filing accounts under the statewide Missouri Court e-filing system.

How to Request a Certified Copy

Certified copies are needed for legal proof of a court action. Banks, schools, immigration offices, and other courts often ask for a certified copy rather than a print from Case.net. The Circuit Clerk uses one main copy-request form for criminal, traffic, civil, and domestic cases.

  1. Find the case number first. A name and date of birth also help, but a case number prevents pulled-record errors.
  2. Download the Request for Records/Copies form from the Circuit Clerk website, or pick up a paper copy at the public counter on the first floor.
  3. Mark whether you want a non-certified, certified, or triple-authenticated copy. Triple authentication is used for some foreign-document needs.
  4. Pick a payment method: cash, cashier's check, money order, credit or debit card, or business check. Personal checks are not accepted. A convenience fee applies to card payments.
  5. Submit the form in person, by mail to 1010 N. Boonville Ave., Springfield, MO 65802, by fax (criminal and traffic to 417-868-4186, civil and domestic to 417-868-4883), or by email to gre.copyrequest@courts.mo.gov.
  6. Wait 5 to 7 business days for a normal request. Larger requests or busy weeks may take longer.

Note: Some case types require a photo ID. Sealed and confidential records, including those redacted under RSMo 509.520 and 595.226, will not be released to the public counter.

Email, Fax, Mail, and Online Filings

The Circuit Clerk takes records requests through four channels. Missouri attorneys must e-file requests if the case is on Case.net. Members of the public can file paper or email requests for most case types.

  • In person: public counter at 1010 N. Boonville Ave., Springfield, MO 65802.
  • Mail: Greene County Circuit Clerk's Office, 1010 N. Boonville Ave., Springfield, MO 65802.

Probate Division and the Circuit Clerk

The Probate Division has its own clerk office inside the Judicial Courts Facility but uses the same overall Circuit Clerk structure. Probate fees are listed separately from civil and domestic. The image below shows the Probate Division fee schedule.
